Home / Automation for estate agencies in Mallorca
From the enquiry that arrives through a portal to the documents of a transaction, without copying data between tools.
An agency receives enquiries through portals, the website, email, WhatsApp and the office. If each one is copied into the CRM afterwards, the reply depends on an agent finding a gap. An automation can read the notification, create or update the record, and leave the source, the property and the language ready for the team.
The first reply can recognise the language of whoever wrote, confirm the next steps with approved information, and pass to the agent the questions that need negotiation, valuation or legal judgement. The aim is that the person carries the conversation on with context, not that a system negotiates for them.
The rules are fitted to the CRM, the calendar and the documents the agency already uses.
Every enquiry lands in the same record, duplicates are caught, and the agent is alerted by area, language or property type.
With the calendar connected, real slots are offered, the viewing is confirmed, and the slot frees itself if the person cancels.
Files that arrive are saved into the transaction's folder, and whatever is missing raises its reminder or internal alert.
Enquiry intake and follow-up are usually the first flow, because they let you measure what goes unanswered and how long the agency takes to react. Viewings, documents and owner reports can be connected afterwards. There is no need to replace a CRM the team already knows: first we check how its data can be reached.
A complete automation costs from €3,000. A managed agent costs from €500 per month, and the in-person assessment costs €1,500 after a free initial assessment by phone. The automation guide for estate agencies explains the journey with concrete examples.
Reports can also gather new enquiries, pending viewings and the paperwork of a transaction, so the manager does not have to check each source separately. What goes into the report is decided with the agency and should serve a specific decision. If a source does not allow enough access, that is identified before building, so no integration is promised that does not exist.
The result is reviewed with the team before the scope is widened, so each step stays clear and can be corrected when working conditions change.
