Home / Automation for distributors in Mallorca
Orders, delivery notes and invoices that arrive by email and enter your system without anyone copying them line by line.
A distributor receives orders by email, by WhatsApp, in a PDF, in a spreadsheet or by phone. Every customer sends them in their own way. Someone in the office reads them and types product code, quantity and customer into the software, line by line, before the warehouse can prepare anything.
On the other side come the delivery notes and invoices from suppliers, which are also copied by hand. It is tedious work, and an error in one line ends in a wrong delivery. We automate the intake: the order is collected, read and reaches your system ready to confirm.
We start with the document that has the most volume, which is usually the customer order.
Orders that arrive by email, as a PDF or in a spreadsheet are read, the customer and product codes are identified, and they enter your system as an order ready to confirm.
Each supplier document is collected from the email, its lines and amounts are extracted, and it is recorded to be checked against what was received.
When an order comes in, a product code is missing or a customer repeats a question, the alert goes only to the person who has to act.
We do not change your management software or your warehouse. The data reaches your system in the format it accepts, by direct connection or by import file, with the product codes from your own catalogue.
Before an order is accepted, a person on your team sees it next to the original document and confirms it. Anything doubtful, such as a product code that does not exist or an unusual quantity, is flagged for review.
We start with the orders of a few customers who send a lot of volume and test them with real orders. When it works, the other customers are added and then the supplier documents. We build on the same system that gave rise to FacturaFlow, our product for the invoices received by accountancy and administrative firms (gestorías).
A complete automation costs from €3,000. First there is a free initial assessment by phone and, if we see that we can help, an in-person assessment for €1,500 with a written report and quote.
