Automation for construction and renovations in Mallorca

Delivery notes, supplier invoices and quotes that arrive at the office and enter your management software without anyone typing them in.

The job moves forward and the paperwork piles up in the office

Every job generates delivery notes for materials, invoices from suppliers and subcontractors, quotes, progress certificates and work reports. They arrive by email, by WhatsApp, as a photo from the site or on paper in the van. Someone in the office opens them one by one, works out which job they belong to and copies the amounts into the software.

That work is tedious and always runs behind the job. When the delivery note is recorded late, the real cost of the job is known late. We set up the journey so that every document is collected, assigned to its job and recorded without copying data by hand.

What we automate in a construction or renovation company

We start with the documents that repeat the most and that most delay the control of each job.

  1. 01

    Delivery notes for materials

Delivery notes that arrive by email or as a photo are read, assigned to their job and their supplier, and left ready to check against the invoice.

  2. 02

    Supplier and subcontractor invoices

Each invoice is collected from the email, the supplier, amounts, VAT and due date are extracted, and it is sent to your management software or to your accountancy and administrative firm (gestoría).

  3. 03

    Quotes and follow-up

The details of every quote are recorded, and those still unanswered generate their reminder on the date you set.

Your software stays; the typing disappears

We do not change your management software or the way you run your jobs. We sit in front of it: the documents are collected, sorted by job and read, and the data reaches your software in the format it accepts, by direct connection or by import file.

Before anything enters your accounts, a person on your team sees the document next to the data read from it and confirms it. Anything doubtful is flagged for review; the rest is approved at a glance.

How we start

We start with one class of document, usually supplier invoices or delivery notes, and test it with real documents from your jobs. When it works, we add the next one. We build on the same system that gave rise to FacturaFlow, our product for the invoices that firms receive.

A complete automation costs from €3,000. First there is a free initial assessment by phone and, if we see that we can help, an in-person assessment for €1,500 with a written report and quote.
