
How much it costs to automate a business in Mallorca is the first question almost everyone asks us, and the honest answer is that it depends on the process, on the number of systems involved and on whether or not an AI agent is needed to respond in real time. Even so, there are clear ranges in the Spanish market and there are prices that we publish. In this article we put them all together so you can compare quotes with confidence, whether you run a hotel in Alcúdia, a clinic in Palma or a workshop in Inca.
The three ways automation is charged
In Spain, automation for SMEs is contracted in three ways, and it is worth understanding each before looking at figures:
- By the hour: a freelancer or a specialist bills the time spent. It is flexible, but the final cost is not known until the end and the risk sits with the client.
- By project: a fixed price for a workflow or a defined set of workflows. This is the most common form for a first project because the budget is known in advance.
- By monthly fee (retainer or managed service): a fixed amount is paid each month to maintain, supervise and improve what has been built, or to operate an AI agent. It makes sense when the system deals with customers every day and someone has to keep an eye on it.
Many projects combine the last two: a fixed price to build and a monthly fee to maintain.
Market prices in Spain in 2026
These are the bands we see in quotes from Spanish companies and professionals. They are indicative and vary with the provider's experience and the complexity of the work:
- Generalist freelancer: €30 to €80 per hour.
- Automation or AI specialist: €90 to €150 per hour.
- Simple automation (one workflow between two systems, for example booking to CRM plus a confirmation message): €1,500 to €3,000.
- Chatbot or full-process project (several systems, document reading or conversational support): €3,000 to €10,000.
- Monthly maintenance or support fee: €150 to €800 per month, depending on the number of workflows and the level of attention.
To these amounts you need to add the cost of the tools. An EU server for the automations costs a few tens of euros per month; WhatsApp Business API is billed per conversation at rates set by Meta; AI models are paid for by usage and in an SME usually amount to a modest sum each month. A good quote separates them and explains them.
Our published prices
We prefer to publish prices so that the conversation starts with the figures on the table:
- Assessment: €1,500, fixed price. We analyse your business processes, measure how much time they consume today and deliver a report with the workflows worth automating, in what order, with which tools and with a fixed quote for each one. If we go on to build, the assessment is deducted from the first project.
- One automation: €3,000 to €6,000. A fixed price for a complete process, built on your current tools (PMS, CRM, Google Workspace, Microsoft 365, Holded, WhatsApp Business API), with an execution log, error alerts, documentation and training for the team.
- Managed AI agent: from €500 per month. An agent that handles conversations or carries out tasks every day, supervised by us, with conversation review, continuous adjustments and tool costs included up to an agreed volume.
We sit at the upper end of the market's "simple automation" band because we do not deliver workflows without monitoring or documentation; when something fails in August, it has to be seen and fixed the same day.
What makes a project cost more or less
When a quote falls outside the bands, it is almost always because of one of these factors:
- Number of connected systems. Two systems with an API is straightforward. An old program with no API, which forces you to read emails or export files, pushes the cost up.
- Data quality. If customers are duplicated or prices live in three different places, cleaning up has to come before automating.
- Need for human review. Workflows that read documents (charter contracts, workshop job sheets, patient forms) need an exceptions queue and an interface to review them.
- Real-time support. An agent that answers customers on WhatsApp has to be available, supervised and tuned; hence the monthly fee.
- Languages. In Mallorca it is normal to serve customers in Spanish, Catalan, English and German. It is a standard requirement, but it has to be tested in each language.
How to compare quotes without getting it wrong
Two quotes for the same amount can include very different things. Before deciding, check:
- What happens when it fails. Are there alerts? Who fixes it and how quickly?
- Who owns the accounts. The tools should be in your company's name, with full access, so that you can change provider.
- Where the data is. Ask in writing for customer data to be processed on servers within the European Union.
- What maintenance includes. Tuning hours, conversation review, updates when Booking, Airbnb or WhatsApp change something.
- How the result is measured. Hours saved, response time, quotes recovered. Without a baseline measurement there is no way of knowing whether it was worth it.
When the investment pays back
A simple calculation we do in every assessment: hours the team currently spends on the process, multiplied by the real cost of that hour (salary plus employer contributions), multiplied by the months of the season in which it repeats. In a business that spends two hours a day on a repetitive process over six months of season, the figure clearly exceeds the price of an automation. To that you add what is no longer lost: reviews that do get requested, quotes that do get followed up, bookings that are not left unanswered on a Saturday afternoon.
Who pays for the AI model
The AI model that acts as the agent's "brain" (Claude, GPT, Gemini or another) is contracted by your business directly, in its own account, and its cost is not included in our price. The reason is the GDPR, not margin. With the account in your name, all the data your agents generate, look up and store is under your control and covered by the data processing agreement signed between your business and the model provider. The cost is usually a few tens of euros per month per agent, depending on usage, and it appears itemised in the plan.
Frequently asked questions
Why charge for an assessment when others do it for free?
Because a free assessment is usually a one-hour sales meeting, and ours is a piece of analysis work with time measurements and a report you can use with us or with any other provider. What is more, the amount is deducted from the first project if we go ahead.
Are there hidden costs after delivery?
The recurring costs are the tools (the server, WhatsApp Business API conversations, AI model usage) and, if you take it on, maintenance. All of them appear itemised in the quote before we start, with a monthly estimate for your volume.
Can I start with something smaller than €3,000?
The €1,500 assessment is the entry point, and in some cases part of the process can be resolved during the assessment itself. What we do not do is workflows without monitoring or documentation, because in high season those are the ones that end up causing problems.
