
If your business is a BBVA customer, you may already have ChatGPT Business free until the end of 2026, included with your small business account. Many business owners in Mallorca have activated it and are not quite sure what to do with it in the day-to-day running of the business. This article explains what it is really good for in a business of 3 to 50 people, what its limits are, which data you should never upload, and at what point a chat tool falls short and an automation is needed.
What exactly you have been given
ChatGPT Business is the business version of OpenAI's chat. Compared with the free version for individuals, it has several differences that matter:
- The data you enter is not used to train OpenAI's models.
- It can be administered by account: who on the team has access and what they can share.
- It lets you create "projects" and your own GPTs with fixed instructions, so the team does not have to repeat the context every time.
- It can read documents, generate tables and work with files.
It is a conversation tool. You ask, it answers. It is useful for preparing, drafting, translating, summarising and analysing. It does not connect itself to your booking system or send emails on its own. That distinction is the key to everything that follows.
Practical uses from day one
These are uses we see working in businesses on the island with no technical setup at all:
Customer-facing text. Replying to a review in the house tone, drafting an apology email for a delay, writing the cancellation conditions for a holiday apartment clearly.
Working translations. A restaurant menu in German, French and English. The pool rules. A charter contract for a Dutch client. For documents with legal value, have a professional check them.
Preparing internal documents. An opening protocol for seasonal staff, a call script for reception, a job description for hiring in March.
Analysing what you already have. Upload last year's occupancy spreadsheet and ask which weeks perform worst. Paste six months of reviews and ask for the three most repeated causes of complaint.
Team training. Giving each person a GPT with the company's instructions ("always reply in this tone, with these opening hours, without promising late check-out") reduces dependence on whoever has been there longest.
One concrete recommendation: create one project per area (reception, sales, administration), put in its instructions everything the business takes for granted, and train the team in twenty minutes.
The limits you need to know
It is worth being clear, because wrong expectations lead to abandonment:
- It knows nothing about your business except what you tell it. It does not see your bookings, your appointments or your quotes. Every query starts from zero, apart from what you have put in the project instructions.
- It does nothing on its own. You have to open it, ask it and copy the result to wherever it belongs. If the task repeats fifty times a day, that friction eats the benefit.
- It can be confidently wrong. It invents a figure or a clause in the same tone as a correct one. Anything going out to a customer needs a human read-through.
- It does not integrate. For the result to reach WhatsApp, the PMS or the CRM, someone has to carry it there by hand.
None of this makes it useless. It is a very capable desktop tool, with a person in front of it.
Which data not to upload, and why
Although ChatGPT Business does not train on your data, you remain responsible for it under GDPR. Our practical recommendation for a business in Mallorca:
- Do not upload complete customer lists with names, phone numbers, emails or payment details. If you need to analyse, anonymise first (replace names with codes).
- Never identifiable health data. A clinic can ask for help drafting a generic consent form; it cannot paste a patient's record.
- Take care with third-party documents (supplier contracts, staff payslips) that contain data that is not yours to share.
- Check where it is processed. Look at OpenAI's current business terms for the location of processing and sign whatever is appropriate as a data processor agreement. If your internal policy requires that data never leaves the European Union, that has to be taken into account before uploading anything.
A simple rule for the team: if you would not email it to a stranger, do not paste it into a chat.
When a real automation is needed
There comes a point when the team says: "this works, but we do it twenty times a day by hand". That is where chat ends and automation begins. The signs:
- The same enquiry repeats many times (availability, prices, opening hours, how to get there).
- The result has to go into another system (a booking into the PMS, an appointment into the diary, a quote into the CRM).
- It has to happen at a fixed time without anyone launching it (the 07:30 report, the appointment reminder the day before).
- It must respond when nobody is there: Sunday night in August.
- There needs to be a record of what was sent, when, and who approved it.

For a business that has just activated the tool through its bank:
- Month 1. Activate accounts for the team, create one project per area with clear instructions, train in one short session.
- Month 2. Note down the tasks that repeat daily and how long they take. Set the data rule and check it is being followed.
- Month 3. With that list, decide what deserves a real automation and request an assessment. Typically one or two clear tasks emerge.
Make the most of what is free as far as it goes, and move to what is built when it pays off.
Frequently asked questions
Is it safe to use ChatGPT Business with my company's information?
For internal, non-personal information (procedures, marketing copy, anonymised analysis), yes, under the business terms that exclude training. For personal data of customers or employees, GDPR applies: anonymise, sign the data processor agreement and never upload identifiable health data.
Can ChatGPT Business reply to my customers on WhatsApp?
On its own, no. It is a conversation tool with a person in front of it. For a system to answer customer messages at any hour, check availability and log what it does, you need an AI agent connected to WhatsApp Business and to your systems, with human approval in the cases you decide.
What happens when the bank's promotion ends at the end of 2026?
You will have to decide whether to pay for the licence or switch tools. Our advice is that by then you should be clear about which uses bring you real value; whatever has become an automation of your own will keep working regardless of which chat you subscribe to, because the AI model can be swapped.
