
In two years, AI agents for SMEs have gone from being a demonstration at a conference to something that can be contracted and put to work in a Mallorca business with ten employees. The term is used for very different things, so in this article we explain precisely what an agent is, how it differs from a chatbot or an automation, which tasks it handles reliably today in hotels, clinics, restaurants, estate agencies and workshops on the island, and what your business needs for it to work.
What an AI agent is (and how it differs from a chatbot)
A classic automation follows fixed rules: if a booking comes in, send the message. A traditional chatbot replies with prepared phrases based on keywords. An AI agent is different in two ways:
- It understands natural language, in several languages, with spelling mistakes and with ambiguous messages. It knows that "got room Saturday for 6 with a pushchair" is an availability question with an accessibility condition.
- It can act, within the limits we have given it: check availability in the booking system, create an appointment, look up a previous quote, send an email, notify a person.
A well-built agent also has three pieces that a chatbot does not: a knowledge base with your business's real information, a set of connected tools (your PMS, your calendar, your CRM) and clear rules about what it can do on its own and when it has to hand the conversation to a person.
What they can do reliably today
These are tasks we see working in production in SMEs, with supervision, without the need for large projects:
- Answer customer questions on WhatsApp, web or email: opening hours, prices, availability, terms, how to get there, in Spanish, Catalan, English and German. It escalates to a person when it does not know or when the customer asks.
- Qualify and register contacts: a private individual writes to an estate agency about a flat in Palma; the agent asks about budget, area and timescales, creates the record in the CRM and notifies the right salesperson.
- Manage appointments: propose slots, confirm, reschedule and send reminders in a clinic or a workshop, synchronised with Doctoralia, Google Calendar or Microsoft 365.
- Read documents and extract data: a charter contract, a delivery note, an incident report. The agent extracts the fields and places them in the spreadsheet or the system, flagging doubtful ones for review.
- Prepare replies for a person to approve: answer Google and Booking reviews, draft the quote from a template, summarise the day's email.
- Monitor and alert: check tomorrow's bookings every morning, detect that a piece of data is missing or that there is an overlap, and notify the right person.
What it is still not advisable to delegate without supervision: decisions with high financial impact (discounts outside policy, cancellations with penalties), anything involving health data without a clear protocol, and conversations with angry customers, which an agent should hand to a person as soon as it detects the tone.
Concrete cases in Mallorca businesses
- Small hotel or holiday apartments: a reception agent on WhatsApp that replies before arrival, collects check-in details, sends access instructions and handles routine requests (towels, late check-out, recommendations), passing incidents to the maintenance team.
- Restaurant: an agent that manages bookings and questions on WhatsApp and Instagram during service, when nobody can pick up the phone.
- Dental or physiotherapy clinic in Palma: an agent that confirms appointments, reschedules and answers preparation questions, reducing no-shows without administration calling patients one by one.

In all these cases the agent works on the tools the business already has. Building an agent on a new CRM that nobody uses is the fastest way for the project to end up in a drawer.
What your business needs for an agent to work
What is usually missing in an SME is order in its information, and that is resolved before activating the agent. You need:
- Written, up-to-date information: prices, terms, opening hours, cancellation policies, answers to common questions. If that information only exists in the owner's head, the first step is getting it out.
- Access to the systems: the agent needs to check availability or create records. That means an API or, failing that, a bespoke intermediate workflow.
- Escalation rules: what it does on its own, what it proposes for a person to approve, and what goes straight to the team. These are defined in writing and adjusted over the first few weeks.
- A point of contact: someone who reviews the conversations during the tuning period and flags it when the agent gets something wrong.
- Defined data processing: which data the agent sees, where it is stored (we keep it on servers within the European Union) and how the customer is told they are talking to an automated system.
What to expect in the first few weeks
An agent is not born tuned. The first two weeks in production are for looking at real conversations: questions that were not anticipated, ways of writing that confuse it, customers who prefer to talk to a person. That is why agents are offered as a managed service, with regular review from day one.
A practical indicator we use: the percentage of conversations the agent closes on its own without the customer asking to speak to someone, and the average response time. If within a month both improve and the team notices that WhatsApp has stopped being a source of stress, the agent is doing its job.

Does an AI agent replace a member of my team?
In an SME the usual pattern is that it absorbs the tasks nobody had time to do well (replying at 22:00, following up a quote, asking for the review) and frees up hours for the people already there. In high season in Mallorca that usually means hiring less seasonal cover and no longer losing customers because the team cannot keep up, while the permanent staff focus on what requires judgement.
Do customers notice they are talking to a machine?
They should know, and we say so at the start of the conversation. In practice, what the customer values is being answered in their language in under a minute and, if they ask for a person, getting one. An honest, fast agent generates fewer complaints than a phone nobody answers.
What happens if the agent gives incorrect information?
The damage is limited by design: the agent only replies with the information in its knowledge base and the data it looks up in your systems, and for everything else it hands the conversation to a person. In addition, conversations are reviewed and every error detected is corrected in the knowledge base or in the rules.
